ScopeMark Privacy Policy.

This Privacy Policy explains how Apptology Inc., operating as ScopeMark, collects, uses, discloses, retains, and protects personal information when contractors, businesses, facility teams, property managers, and other users use ScopeMark.

1. Scope and Accountability

This Privacy Policy applies to the ScopeMark website, mobile applications, marketplace, contractor verification process, job management tools, payment workflows, support channels, and related communications.

ScopeMark is designed for commercial projects and business users, but information connected to a business or trade profile may still identify an individual. Examples include a sole proprietor's name, mobile number, licence record, location check-in, job photo, rating, review, message, or payout record. We treat that information as personal information where applicable privacy law requires it or where it is reasonable to do so.

Apptology Inc. is responsible for personal information under its control. We use policies, procedures, service provider controls, and technical safeguards intended to protect personal information and to support compliance with Canadian privacy requirements, including the Personal Information Protection and Electronic Documents Act where it applies.

If you use ScopeMark on behalf of a company, property owner, facility, contractor business, or other organization, you are responsible for ensuring that your organization has authority to provide information to ScopeMark and to use the platform for the relevant business purpose.

2. Information We Collect

We limit collection to information that is reasonably necessary for a verified trades marketplace, contractor compliance, job documentation, payment administration, safety, security, support, and legal obligations.

Account and Business Information

  • Names, business names, roles, email addresses, phone numbers, mailing addresses, account identifiers, and login details.
  • Company, facility, property, or project information provided by service seekers.
  • Preferences, saved contractors, tender settings, notifications, and support requests.

Contractor Verification Information

  • Trade category, service area, years of experience, portfolio details, ratings, reviews, references, and work history.
  • Licence, certification, WSIB, insurance, compliance, background, safety, and other credential records needed to verify eligibility for commercial work.
  • Information from third-party verification sources or documents you provide to prove that credentials are active and accurate.

Job, Project, and Marketplace Information

  • Job descriptions, scopes of work, bids, estimates, timelines, milestones, purchase order details, invoices, change requests, approvals, and dispute records.
  • Messages, job notes, uploaded files, timestamped photos, and other documentation added by contractors or service seekers.
  • Ratings, reviews, acceptance decisions, and performance signals used to operate the marketplace.

Location and Device Information

  • Approximate location and, where enabled, job-site GPS check-in/check-out data used to confirm on-site activity, dispatch proximity, milestone evidence, and dispute records.
  • Device, browser, IP address, app version, log data, cookie identifiers, and usage analytics used to secure, maintain, and improve the platform.

Payment-Related Information

ScopeMark may collect payment status, payout records, invoice details, transaction identifiers, tax-related details, and bank or card information needed to support escrow, milestone release, payouts, billing, refunds, chargebacks, and account reconciliation. Full payment credentials may be processed by payment, banking, escrow, or accounting providers rather than stored directly by ScopeMark.

Information From Third Parties

We may receive information from contractor verification providers, payment providers, identity or compliance services, business customers, references, public registries, insurers, regulators, analytics providers, and service providers that help us operate ScopeMark.

3. How We Use Information

We collect and use information for purposes that are reasonable in the context of a verified trades marketplace, including to:

  • Create, verify, maintain, and secure contractor and service seeker accounts.
  • Assess contractor eligibility, credentials, insurance, WSIB status, licence status, service area, and marketplace fit.
  • Post jobs, generate scopes, receive bids, select contractors, manage milestones, document work, resolve disputes, and maintain audit trails.
  • Process escrow, milestone releases, payouts, invoices, refunds, chargebacks, tax records, and financial reconciliation.
  • Send service messages, support replies, verification updates, policy notices, demo scheduling, and optional marketing communications.
  • Detect fraud, abuse, unsafe work patterns, account misuse, payment risk, and other activity that may harm users or the platform.
  • Improve platform reliability, product design, matching, analytics, and customer support.
  • Comply with legal, regulatory, tax, accounting, safety, insurance, dispute resolution, and contractual requirements.

Where required, we rely on consent. In some situations, privacy law permits or requires us to collect, use, or disclose information without consent, such as for fraud prevention, legal compliance, debt collection, security investigations, emergencies, or other legally recognized purposes.

4. How We Share Information

ScopeMark does not sell personal information. We may disclose information where necessary to operate the marketplace, complete business workflows, meet legal obligations, protect users, and support platform security.

  • Between marketplace participants: service seekers may see contractor profiles, credentials, bids, ratings, work documentation, check-in status, and milestone updates. Contractors may see job details, client/project contacts, milestone requirements, and payment status.
  • With verification providers: to confirm licences, insurance, WSIB, identity, references, certifications, or other eligibility requirements.
  • With payment and financial providers: to support escrow, payouts, invoices, banking, accounting, fraud review, and chargeback handling.
  • With service providers: such as hosting, analytics, customer support, email, SMS, file storage, security, workflow, and professional advisory providers.
  • For legal and safety reasons: where required by law, court order, regulator request, insurance process, tax obligation, dispute resolution, fraud prevention, or to protect users, workers, property, or ScopeMark.
  • During a business transaction: if ScopeMark is involved in a merger, financing, acquisition, restructuring, or sale of assets, subject to appropriate confidentiality safeguards.

Cross-Border Processing

Some service providers may process or store information outside Ontario or Canada. When that happens, information may be subject to the laws of the jurisdiction where it is processed. We use contractual, technical, and operational safeguards designed to protect information handled by service providers.

5. AI-Assisted Features

ScopeMark may use AI-assisted tools to help draft scopes of work, summarize job details, structure milestones, flag missing information, improve matching, and support marketplace operations.

AI outputs may be based on job descriptions, messages, project details, photos, contractor profiles, and other information provided in the platform. Users remain responsible for reviewing AI-generated scopes, milestones, summaries, and recommendations before relying on them for work, pricing, compliance, safety, or payment decisions.

We aim to limit AI processing to information needed for the relevant feature and to avoid using highly sensitive information unless required for the job workflow or permitted by applicable law and consent.

ScopeMark does not intend to use AI-assisted tools as the only basis for denying a contractor access to the marketplace or resolving a payment dispute without an opportunity for appropriate human review.

6. Cookies, Analytics, and Similar Technologies

ScopeMark may use cookies, local storage, software development kits, pixels, logs, and similar technologies to operate the website and apps, keep users signed in, remember preferences, protect accounts, measure performance, understand feature usage, and improve the platform.

You can control some cookies and tracking technologies through your browser or device settings. Blocking certain technologies may affect login, security, saved preferences, analytics accuracy, or platform functionality.

7. Retention and Deletion

We keep personal information only as long as reasonably needed for the purposes described in this policy, unless a longer retention period is required or permitted by law. Retention periods may vary depending on account status, job history, financial records, tax obligations, disputes, insurance requirements, compliance evidence, fraud prevention, backup systems, and legal holds.

Some job records, invoices, milestone approvals, messages, photos, GPS check-in records, and dispute documentation may need to be retained after an account is closed so ScopeMark can maintain accurate business records, protect marketplace participants, resolve disputes, and meet legal or accounting obligations.

When information is no longer required, we delete, anonymize, or securely retain it in accordance with our operational retention practices and applicable legal obligations.

8. Safeguards

ScopeMark uses administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These may include access controls, authentication, encryption in transit, restricted internal access, vendor due diligence, monitoring, logging, backup controls, staff training, retention controls, and incident response procedures.

No platform can guarantee absolute security. Users should protect their login credentials, use strong passwords, keep devices secure, and tell us promptly if they suspect unauthorized access or misuse of an account.

9. Privacy Incidents

If ScopeMark becomes aware of a security incident involving personal information, we will investigate and take steps appropriate to the nature of the incident. Where required by law, we will notify affected individuals, regulators, and organizations and keep records of reportable privacy breaches.

10. Consent, Choices, and Access Rights

By using ScopeMark, submitting information, enabling app permissions, or participating in a job workflow, you consent to the collection, use, and disclosure of information for the purposes described in this policy and at the time of collection.

  • You can update account and profile information through the platform or by contacting us.
  • You can request access to personal information we hold about you, subject to legal, security, privilege, confidentiality, and commercial limitations.
  • You can ask us to correct inaccurate or incomplete personal information.
  • You can withdraw consent where consent is the basis for processing, subject to legal, contractual, safety, payment, verification, and marketplace limitations.
  • You can opt out of promotional emails by using the unsubscribe option or contacting us. We may still send transactional, account, security, legal, or job-related messages.
  • You can control some location, camera, photo, and notification permissions through your device settings. Disabling permissions may limit job verification, milestone evidence, dispatch, or payment features.
  • You can submit a privacy complaint or concern using the contact details below. We will review and respond within a reasonable time.

Accuracy

Contractors and business users are responsible for keeping account, licence, insurance, WSIB, payment, and contact information accurate and current. ScopeMark may request updated documents or suspend marketplace features if required information is missing, expired, or cannot be verified.

Children

ScopeMark is intended for business users and contractors who are at least 18 years old. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy as ScopeMark evolves, including when we launch new features, use new service providers, change marketplace workflows, or update legal and compliance practices. The effective date at the top of this page shows when the policy was last updated. Material changes may be communicated through the website, app, email, or account notices.
